How to Block Dates for Time Off Requests

Learn how to block specific dates on your calendar so employees cannot request Time Off for those dates.

In this article you will learn how to add Blocked Dates, how to edit and manage Blocked Dates, and how to give permission to other users to manage Blocked Dates

If you wish to prevent employees from booking Time Off on certain dates, you can enter them as Blocked Dates on the Time Off Calendar.

This may be useful for certain busy periods like Christmas in retail, or certain events or Bank Holidays.

You can only manage Blocked Time Off Dates if you're an Admin or if you have the specific permissions as part of your access Role to Bizimply.

How to add a Blocked Date

  1. Navigate to a single location's Time Off Calendar. This is either visible on an individual location's Dashboard - not the All Locations Dashboard - or when logging a Time Off record in an employee profile.

  2. Click "Manage Blocked Dates"

3. Click the "Add Date" button

4. Add a Title for the dates selected, selected the time period using the date pickers for the start and end date, and select which locations - if not all- that the blocked dates should be applied to.

5. Click "Add".

6. These dates will now be Blocked. Employees will not be able to request Time Off on those dates, and they will appear greyed out on the calendar.

Please Note:

  • If Time Off has already been approved on those dates, the records will remain

  • If a Time Off request is in for those dates, they will be automatically declined

  • A manager can over-ride the blocked dates by entering in a Time Off record manually in the employee profile.

How to Edit or Delete Blocked Dates

If you have acess to Manage Blocked Dates, you can edit or delete Blocked Dates which have already been entered.

  1. Navigate to a single location's Time Off Calendar. This is either visible on an individual location's Dashboard - not the All Locations Dashboard - or when logging a Time Off record in an employee profile.

  2. Click "Manage Blocked Dates"

  3. A list of all Blocked Dates logged will be provided in the box.

  4. Click on the pencil to edit an existing record, or click on the trash can icon to delete a record.

5. In the edit function, you can change the title, dates selected, and locations to apply the Blocked Date to. Click "Update" when you are happy with your changes

6. If you click on the trash icon to delete the Blocked Dates, you will be asked to confirm your choice before the record is deleted:

How to give permission to Manage Blocked TIme Off Dates

You must have admin access to update any Role to give new pemissions to a Bizimply user.

  1. Go to the top right corner, click on your name/email address, and in the dropdown menu select "Account Access"

  2. Navigate either to your Location Roles or Groups Roles, dpeneding on which Role you want to update to include this permission.

  3. Click into the Location Role or Group role you would like to update e.g. Manager

  4. Scroll to the Employee Section

  5. The Employee Section will need to be 'On"

  6. Click "Choose Options"

In the options available, tick the box Manage Blocked Time Off Dates

7. Click "Save" to update the role. This will immediately give permission to anyone with this Role to manage Blocked Time Off Dates
