Time Off In Lieu - TOIL - Company Settings

Time Off In Lieu - or TOIL - enables employees to convert extra hours worked into paid time off. This is tracked as it's own balance and also has it's own paycode for payroll purposes. Employee profiles will update to show TOIL balances and they will be able to request Time Off using those Balances. Timecard Reports will have another column for TOIL hours to track those hours separately to other Paid Time Off hours logged.

How To Turn on TOIL in your Bizimply Account

You must have Admin Access in order to turn on TOIL

  1. Login as an admin, and click on your name/email in the top right corner

  2. In the dropdown menu, select "Settings"

  3. On the left-hand side, select Employees, and then Time Off

  4. Scroll down the page and look for the TOIL settings at the bottom

  5. To enable TOIL in your account for any employees, select 'Yes' to the first question "Allow TOIL to be allocated to employees?"

  6. To enable TOIL in your account for all employees by default, selec 'Yes' on the second questions "Enable TOIL for all employees by default?" This will turn on TOIL for all your employees in your account straight away, and will enable it for all future employees added to the account.

  7. If you want to impose a cap on the amount of hours an employee can accru in TOIL per holiday year, type the cap amount in the box provided.

  8. If you wish to allow TOIL hours to carry over at the end of the holiday year, select "Yes" to the question "Allow TOIL balances to be carried over?".

  9. You can limit the amount of TOIL hours that are carried over at the end of the holiday year, by typing the highest amount of hours allowed to carry over, in the box provided.

Should TOIL be included in Holiday Accrual Calculations?

If you enable TOIL in your account, you will also be asked if you include TOIL taken for calculating accrued holiday hours.

This option appears higher up on the page, under "Calculating Accrued Holidays"

Choose 'Yes' if you do want TOIL hours taken to be included in calculating holiday hours owed.

Updating the Paycodes for TOIL

Once a holiday has been logged using TOIL hours, it's possible for the hours to be allocated to a different paycode so they are not confused with regular PTO.

You will notice this on the Timecard itself

And you can add in a Paycode in Payroll Settings. You must have Admin access to do this.

However, you will notice when pulling the Timecard reports you can choose to either pull TOIL as it's own type of hours, or to combine it with the regular PTO hours.

How to Add a Payroll ID for TOIL hours

  1. Login to Bizimply and click on your name/email in the top right corner

  2. In the dropdown menu select "Settings"

  3. On the left-hand side select Payroll, and then Payroll IDs

  4. In here you will see the option to enter a Payroll ID for TOIL hours. This will overwrite where "TOIL" appears in all payroll reports going forward
