What is an Estimated Available Balance on a Time Off Request?

Estimated Available Balances help to determine if an employee will have a sufficient holiday balance for the Time Off they have requested in the future.

What are Estimated Available Balances?

Estimated Available Balances appear under Time Off Records when they are being logged, or under Time Off Requests when they are being approved.

These are to help ensure that when a Time Off Record is logged for the future, it is likely that the employee will have accrued enough Time Off to be paid in full for that Holiday.

How are the Estimated Accrual Balances Calculated?

The Estimated Accrual Balance are calculated when you use the Accrual Settings in Time Off. They do not work with the Standard Allowance of Days settings.

Estimated Accrual = Current Accrual + ((Average Daily Hours Γ— Accrual Rate) Γ— Number of Working Days Until Leave End)

What Impact do Estimated Accrual Balances have?

If the balance for an employee is not estimated to be sufficient to cover a requested holiday in full, you will see a warning on the record or request before it can be logged or approved

If you do not have Admin permissions, the estimated accrual Balances could prevent you from creating a Time Off record for an employee, or approving a Time Off request for an employee.

The 'Approve and Save' button will not be available to click on as per above.

If this is the case, you may need to edit a request to ensure that some of the hours are unpaid rather than paid for an employee to have their holiday in full.

If a request is edited to meet the limits of the Estimated balance, the ability to approve will return, and the warning will disappear.

How are the Permissions managed for Estimated Available Balances?

You must have admin access to apply or remove this permission for another user on Bizimply.

  1. Login as an Admin and in the top right corner dropdown menu, select Account Access

  2. Select either Location Roles or Group Roles

  3. Select the Role you wish to edit by click on the name of the Role, or the yellow pencil icon.

  4. Scroll down the page to the Employee section for permissions.

  5. Click Choose Options

  6. You will see the permission "Allow Approval of Time Off Exceeding Estimated Accrual Balance. Tick or untick this permission based on your company policy on Time Off allowances.

  7. Click 'Save' on the Role to update the permissions.
