You may wish to allow your employees to view their total hours worked per day and per week in advance of payroll, so they can catch and correct any possible errors. You can permit them to view this information through the MyZimply app, or through their Employee Portal on a web browser.
You can choose to show Timecards as soon as a shift has ended, or only when Timecards have been approved.
How to Set up Employee Timecard Visibility
You must have Admin access to enable this setting
Sign into Bizimply as an Admin
At the top right corner, click on your name or email address, and in the dropdown menu select “Settings”
Now on the left-hand side click “Timecards” to expand the Timecard menu and then click “Timecard Settings”
Under the “Employee Timecard Visibility” heading, you will see two options:
“Allow employees to see their Timecards?” - If you would like your employees to be able to see their timecards, ensure this setting is toggled to YES. If NO is selected, the Timecard page or option on MyZimply will be hidden from employees.
“Show Pending Timecards?” - If you would like to allow your employees to be able to see details of Timecards which have not yet been approved by a manager, ensure this is toggled to YES. If NO is selected, pending Timecards will not populate with the shift details: all the employee will see is the date and the pending status.
The Employee View on MyZimply
Your employees will be able to access their Timecards by tapping the “More” button at the right-hand side of the navigation bar at the bottom of the screen and then selecting “Timecards” from the options:
The employee will be able to see their Paid Times only (we do not show their Scheduled or Actual clock-in times). If they click the arrow to expand the Timecard, they will see other details of that shift, such as the Location, Schedule and any paid extras.
If the setting to allow employees to see Pending Timecards is turned on, all of these same details will be shown for their Pending shifts.
Their ”Total Est. Hours” hours for that period will also be shown at the top of the screen underneath the date selection. This will include all hours shown in the Timecards for the period of time selected.
If the setting to allow employees to see Pending Timecards is turned off, the arrow buttons to expand the Timecard will be hidden, and they will only see the date and “Pending” status.
Their “Total Est. Hours” for that period will be shown at the top beneath the date selection, but any Pending Timecards will not be counted in these totals.
Selecting Dates for Viewing Hours Worked on MyZimply
There are three options for selecting dates on mobile.
First, click on the calendar icon at the top of the screen.
The options then are:
Tapping “This Week” - in red box
Tapping “This Month” - in red circle
Manually selecting the start and end date on the calendar. You will only be able to select up to 35 days here.
Click "Confirm" when you have made your selection.
Using the back and forward arrows on the top of the screen when looking at the Timecards will take you back or forward by the selected period for the week or month selection, but are deactivated when using a custom date selection.
The Employee View in the Employee Portal on the Web
Your employees will be able to access their Timecards via the Timecards button in the top navigation bar on the web app when logged into their Employee portal.
The employee will be able to see their Paid Times only(we do not show their Scheduled or Clock-In times), and other details of their shifts, such as the location, schedule, and any paid extras.
The status will show whether the Timecard has been approved by a manager or is Pending Approval.
If the setting to allow employees to see Pending Timecards is turned on, all of these same details will be shown for their Pending Shifts. The “Total Worked Hours” for that period will be shown at the bottom of the Timecards. This will include all hours shown in the Timecards.
If the setting to allow employees to see pending timecards is turned off, the details of Pending Shifts will be hidden, and they will only be able to see the date and “Pending” Status.
A total of their hours for that period will be shown at the bottom of the Timecards. In this case, any Pending Timecards will not be counted in the “Total Worked Hours” at the bottom.
