Please note: The E-Signature app is part of the HR Management Suite on Bizimply and must be paired with our Documents, Notes & Feedback app. E-Signature is not compatible with Internet Explorer. Please contact your Bizimply Customer Success manager if you are interested in adding this feature to your package.

What is E-Signature on Bizimply

E-Signature is a feature on Bizimply which allows employers to send employees documents within Bizimply which can be electronically signed with a digital, legally binding signature.

How to set up E-Signature

First you must install the E-Signature on app on Bizimply. Please note that this must be complete by an administrator on the account.

  1. Click your name/email at the top right of the screen

  2. Select 'App Centre' from the drop down menu

  3. Select 'HR Management' from the three categories on the left hand side

  4. Click the green 'Install' button on the E-Signature app

Grant Employees access to their Documents

Before requesting e-signature from employees, you must ensure they have access to view their documents.

Please note: Only Administrators on the account can access the following settings.

  1. Sign into bizimply.com as Account Admin

  2. Click your name/email address at top right of screen

  3. Select 'Settings' from the drop down menu

  4. Click on 'Employees' from the list of categories on the left

  5. Select 'Personal Settings' from the drop down

  6. In the 'Additional Tabs' section, switch the Documents field to On

  7. In the 'Employee Portal' column, tick the 'View' option

How to request E-signatures from an employee

Once you have given employees access to their documents, you are ready to begin requesting signatures.

  1. Click into Employees tab from navigation bar

  2. Select the relevant employee's profile

  3. Click into the 'Documents' tab

  4. Click the green 'Request E-Signature' button

  5. Enter the subject of the message in the 'Subject' text box

  6. Enter in the message you would like to send in the 'Your message' text box

  7. Attach relevant document you wish for the employee to sign using the blue 'Attach File' button. Note that the maximum upload size is 10MB.

  8. Select the green 'Request E-Signature' button once ready. A green banner will appear that reads "E-Signature Request email successfully sent".

  9. A reminder email can be sent by clicking into the 'Signed Documents' folder and selecting the green 'Send Reminder' button

Signed documents will appear in the 'Signed Documents' folder in the Documents tab of the employee's profile.

How to Request E-signatures In Bulk

Once you have given employees access to their documents, you are ready to begin requesting signatures.

  1. Click into Employees tab from navigation bar

  2. Select the relevant employees from the employee table

  3. Click the blue 'Quick Actions’ button

  4. Click on the 'Request E-Signature' option from the dropdown menu

  5. Add/Remove more employees if needed

  6. Enter the subject of the message in the 'Subject' text box

  7. Enter in the message you would like to send in the 'Your message' text box

  8. Attach relevant document you wish for the employees to sign using the blue 'Attach File' button. Note that the maximum upload size is 10MB.

  9. Select the green 'Request E-Signature' button once ready. A green banner will appear that reads "E-Signature Request email successfully sent".

  10. A reminder email can be sent by clicking into the 'Signed Documents' folder of each employee and selecting the green 'Send Reminder' button

Signed documents will appear in the 'Signed Documents' folder in the Documents tab of the employee's profile.

How employees sign documents using E-Signature

Once the e-signature request email has been sent, the employee will receive the email in their inbox.

  1. Open the email and click the blue 'Log In' button

  2. Once in the 'Documents' tab, click the green 'Complete E-Signature' button

  3. Click the green 'Complete E-Signature' button at top right of document pop up

  4. Click on the 'Click to sign' box

  5. Add your signature by using one of three options: drawing it, typing it in or attaching a photo of it. Click the Insert button once ready.

  6. Once you are happy with your signature, click the green 'Continue' button at the top right of the box

  7. Read the Dropbox Sign Terms of Service attached and when you are ready, click the 'I Agree' button at the top right of the box to submit your document

The document will now appear in the 'Signed Documents' folder in your Documents tab where you can view and download it

What file types can be used with E-Signature?

E-Signature supports each of the file types listed below:

  • doc

  • docx

  • pdf

  • ppt

  • pptx

  • jpg

  • jpeg

  • png

  • XIs

  • XIsx

  • txt

  • gif
