Guidelines for usage

Welcome to the Beta Release of Mandatory Fields. We are happy to announce this latest feature for the HR Suite and look forward to get your valuable feedback.

The Mandatory Fields feature is designed to give you total control of how you onboard employees in Bizimply. It will allow you to select what information is mandatory and must be entered when first creating new employee records.

This Beta includes the ability for an admin account to label any field that appears under ‘Personal Settings’, ‘Bank Details’ and ‘Payroll’ of the employee profile as ‘Required’.

  • Goals and Objectives For this Beta release, our primary goals are to gather user feedback on the new feature, identify and fix bugs or issues, and ensure a smooth user experience.

  • Installation and Setup You will have early access from today until the official release (date tbc). No setup is required on your end, the feature will be ready to use.

  • Feedback Process Please provide feedback and report issues by contacting support. You can also book a call with Diego in case you would like to talk to the Product Team directly.

  • Testing Scenarios We have created user cases that might help you to understand better the functionality and the correct usage for this new feature. - The are available below.

  • Known issues Please be aware that this feature is not currently compatible with:

  • Integrations with Applicant Tracking Systems

  • Bulk/Single Import (It might work, but you will get error messages for any missing fields selected as required)

Also this feature does not include:

  • On/Off feature for each option under ‘Bank Details’

  • Timeline and Updates This Beta testing phase is expected to run from 2nd of October until the official release date (currently TBC).

FAQ

Q: Import employees - will bulk/single import be affected by the required fields settings?

This feature will not work with bulk/single import. If an account bulk imports employees that don’t have a field that is required, then the user will have to go to the employee profile and fill the required information missing, the system won’t let save changes if the missing required field is still blank.

Q: Will the Work tab be included with mandatory fields?

No. For now only Personal Settings, Payroll Details and Bank Details can be selected as required.

Q: How permissions will affect mandatory fields?

Permissions won’t affect the required fields selected. For example, a manager doesn’t have permission to see Bank Details but the admin account has set some of bank details as required. What happens then is that the manager will be asked to fill those details in the Required Tab but then won’t have access to see the information in the employee profile.

Q: How will this work with ATS integrations?

This feature will be handled separately from integrations. This means that an employee created in an ATS integration and then exported to Bizimply won’t be affected by the required fields set up in the account. Once the employee is created in Bizimply then will follow the same experience as old employees: in order to complete the required fields the user will have to go to the employee’s profile and update the information missing in there.

Testing Scenarios

1 User Persona: Payroll Manager

“Every time we have to process our payroll, which is every second week, I have problems with some payments because we are missing employee’s critical information, like bank account or IBAN. This is something really frustrating because I have to chase the manager who added the new employee to Bizimply, make sure they complete the missing information so I can finally process the payments.”

How can Mandatory Fields help to solve this?

You can easily solve this problem by selecting ‘Bank Account’ and ‘IBAN’ as mandatory when new employees are being added to Bizimply. Just make sure you have checked the Required boxes for these fields under the Bank Details settings.

2 User Persona: HR Manager

“I have problems calculating employees holiday entitlement because I’m missing information like when did they start working. Also, some of them are not accruing the correct amount of time off because managers are not completing the start date in Bizimply. At the end I have to spend valuable time in more administrative work.”

How can Mandatory Fields help to solve this?

You can easily solve this problem by selecting ‘Start Date’ as mandatory when new employees are being added to Bizimply. Just make sure you have checked the Required box for this fields under the Personal settings.

3 User Persona: Manager

“Sometimes I need to contact employees but I don’t have their information, like email or phone number, so I can’t reach them. This is frustrating and stressing because in case of an emergency or any other important issue I need to get in contact with them”

How can Mandatory Fields help to solve this problem?

You can easily solve this problem by selecting ‘Email Address’ and ‘Phone Number’ as mandatory when new employees are being added to Bizimply. Just make sure you have checked the Required boxes for these fields under the Personal setting.

4 User Persona: HR Manager

”I have received some complaints from employees because they are constantly working more hours than what their contract says. This is a big problem because if we are non compliant with regulations we could be exposed to penalties or legal actions”

How can Mandatory Fields help to solve this problem?

You can easily solve this problem and get the right notifications when your managers are scheduling employees by selecting ‘Contracted Hours’ as mandatory when new employees are being added to Bizimply. Just make sure you have checked the Required box for this field under the Payroll settings.
