This article is intended to provide guidance to our customers about our new salary updates and help prepare for this update. As part of that we ask to assign a 'Main Schedule' to your employees which is explained within the article. Important: If you have not assigned a Main Schedule to your employees who are paid salary before the Salary Updates occur, their labour costs will not be applied to the schedule.
How to prepare your account for the Salary Update
We are still continuously working on these salary updates however it is important to prepare your account for these upcoming Salary Updates now.
The first thing that you need to do is assign a Main Schedule to your salary employees. This will decide which schedule that employee's costs will be applied to and is only applicable when salary employee's labour costs are assigned by option 2. Pre Set Days as described above.
There are two ways you can do this - either within the Work tab of employee's profiles OR you can do this in bulk using the Update Employee Profiles feature in Settings.
How to Assign Main Schedule within Work tab of Employee Profile
Sign into bizimply.com
Click into 'Employees' tab from navigation bar
Select relevant employee to click into their profile
Click into the 'Work' tab
Scroll down to the 'Main Schedule' field
Select relevant schedule from the drop down that appears. (Note that if the relevant schedule does not appear in the drop down, you must assign the employee to that schedule first using help article).
Click save at bottom of the screen
How to Assign Main Schedule in bulk using the Update Employee Profiles feature
Please note: Only Account Administrators have access to do this.
Sign into bizimply.com as an admin
Click your name/email at the top right of the screen
Select 'Settings' from the drop down menu
Select 'Employees' on the left hand side
Select 'Update Employee Profiles'
Read through instructions in the blue box on the right hand side
Choose field to update from drop down menu
Download the Active Employee List CSV
Update column G with the main schedule you wish to assign to each employee
Save the file
Select the CSV file that you have saved. Upload and click the 'Import' button
If an employee has been assigned a Main Schedule that they have not yet been added to, the file will not go through and an error list will appear stating that 'Schedule not found under: Employee Schedule field'
What is the new Salary Update?
The new Salary Update will include updated ways to apply labour cost for your employees who are paid salary. This means more detailed costings of your salary employee, more accurate schedule costs and flexibility to cost salary staff in different ways. The update contains 4 different options for applying labour costs including two brand new options.
Assign Labour Costs by:
Allocated Hours (New)
Pre Set Days (Existing)
Daily Rate (New)
Do not Allocate (Existing)
1. Allocated Hours (New)
Enter in the employee's Weekly Salary Rate and their contracted hours to calculate their hourly rate. The employee's salary will then be costed based on the hours that they are scheduled similar to costing an hourly paid employee. E.g. £12.50 x hours scheduled.
Benefits:
Employee's shifts are costed based on hours scheduled
Provides flexibility when costing salary employees
2. Pre Set Days (Existing)
This is an update to the already existing feature and is similar to how salary employees was handled before on Bizimply. Enter in the employee's Weekly Salary Rate and select their working days. This will be used to calculate a daily rate for the employee. Ensure that the Main Schedule has been marked within the 'Work' tab using the help article here.
This amount is assigned to the 'Main Schedule' selected for the schedule and dashboard labour costs each week for each selected day.
Benefits:
Can set working days based on individual employees
Will cost employees on schedule & dashboard whether shifts are assigned or not
Please note: For existing employees who are set to be paid as Salary, the 'Pre Set Days' option will be set as default using the working days set in the location settings found within Locations & Groups section on Bizimply.
3. Daily Rate (New)
This is a brand new option that will be added to calculate salary labour costs. Enter in the employee's Weekly Salary Rate and enter in the number of their working days out of 7. This will then be used to calculate the employee's Daily Rate.
The Daily Rate will be applied for each shift scheduled (unless marked as a half day) up to the number of working days set. Shifts added over this figure will be costed at £0 unless overridden in the shift details popup.
Benefits:
Maximum cost per day is fixed (Number of hours scheduled does not affect this)
Ability to cost half days
Paid time off included in number of working days
Provides flexibility when costing salary employees
4. Do not Allocate (Existing)
The last option is choosing not to allocate employee's salary labour costs. You can input their Weekly Rate however this amount will be excluded from the schedule and dashboard labour costs each week regardless of hours or shifts.
What will happen if you do not assign Main Schedule
When the Salary Updates occur, existing employees who are set to be paid as Salary will default to 2. Pre Set Days using the working days set in the location settings found within Locations & Groups section on Bizimply.
Important: If you have not assigned a Main Schedule to your employees who are paid salary before the Salary Updates occur, their labour costs will not be applied to the schedule.
