When to Edit a Timecard

Use editing when an employee’s Punch Times, Schedule or Position are wrong or incomplete for that day. All changes recalculate Total Paid Hours instantly and are tracked for audit purposes.

How to Edit a Daily Timecard Record

  1. Go to Timecards then the Daily Timecards View.

  2. Locate the employee and day you want to edit.

  3. Click directly on the field you want to change:

    • Paid Times

    • Position (pulls from employee’s assigned positions)

    • Schedule (pulls from employee’s assigned schedules)

    • Extras (add or adjust extra paid time)

    • Note: Scheduled In/Out or Actual In/Out times cannot be edited within the timecards page.

  4. Enter the new value. Changes autosave immediately.

The Total Paid Hours column updates automatically and, if sorted by hours, the table refreshes accordingly.

Adding a note to a Daily Timecard

  1. Click the ellipsis (⋯) on a record and choose “Notes”. This will display the Daily Timecard’s notes

  2. Simply type your note within the text box and click the “Add Note” button

  • Each note will display a timestamp of when it was added and who added it.

  • Note that only the user who added a note has the ability to remove it.

Adding another Paid Time entry

If you're missing Paid Times for an employee, you can add them manually to the Daily Timecard.

  1. Click the ellipsis (⋯) on a record and choose “Add Paid Time”. A new paid time row appears where you can enter shift information and times.

  2. Audit Tracking

    All edited values are stored with metadata so you have a full history of changes. See this article about the Timecard Audit Log
