What is Employee Document Access for Company & Location Documents

Employee Document Access for Company & Location Documents is the ability for employees to view these documents in their employee portal. It is the Admins and users with the correct permissions who can give all employees access to certain documents stored within the Company & Location documents section. Once this access is given, the document will be become available to view when the employees sign into their employee portal. This feature is great for documents you wish to share with all employees quickly e.g. Employee Handbook.

How to Give Managers & Other Users permission to control which documents are available for employee access

Only certain users have the ability to give employees access to these documents and this is controlled by permissions.

Please note: Only account administrators can edit these permissions.

  1. Login to your Bizimply account

  2. Ensure that the 'Document Management' feature is turned on within the App Center

  3. Click on the dropdown menu on the top right of the screen

  4. Click on 'Account Access'

  5. Within Location Roles, choose the role that you wish to give access to 'Documents' to by clicking on the orange pencil icon

  6. Scroll down to 'Documents' and turn this feature to 'On'

  7. Click the blue 'Choose Options' dropdown

  8. Under the Company Level Documents heading, tick the 'Allow Employee Access' checkbox to give user ability to allow employee access to company documents

  9. Under the Location Level Documents heading, tick the 'Allow Employee Access' checkbox to give user ability to allow employee access to the location documents. (The user will only be able to give allow access to documents within their own location).

How to Give Employees Access to Certain Documents

Users who have the correct permissions can choose which of the Company or Location documents can be access by all employees within their employee portal. To do this, follow the steps below.

  1. Sign into bizimply.com

  2. Click into the 'Documents' tab

  3. Click into either Company Documents or Location Documents tab for the document you wish to give employees access to

  4. Under the 'Employee Access' column highlighted in image above, tick the checkbox of the document you wish for all employees to have access to e.g Employee Handbook

  5. This document is now available for employees to access via their employee portal.

How Employees can Access these Documents
  1. Sign into bizimply.com using your email address and password

  2. Click into your Employee Portal

  3. Click into the 'Your Profile' tab at the top of the screen

  4. Next click into the 'Documents' tab in the employee profile

  5. Click into the 'Company Documents' tab to view Company or Location level documents

  6. Click into the 'My Documents' tab to view employee's own personal documents
